How to Stamp Bates Numbers on PDF and TIFF Files

A law firm receives 3,000 pages of discovery documents in PDF and TIFF format. Every page must be labeled with a unique sequential number before the files can be entered into evidence. Doing this manually in Adobe Acrobat — one file at a time — takes days of tedious work.

Tiff PDF Cleaner stamps Bates numbers on PDF and TIFF files in batch. Select your folders, configure the numbering format, and click Start. The program processes hundreds of files, applies sequential Bates numbers to headers or footers, and saves the stamped documents — all in one operation.

What Is Bates Numbering?

Bates numbering (also called Bates stamping) is a method of labeling document pages with unique sequential identifiers. Each page receives a number — typically with a prefix and leading zeros — so that any page in a collection can be referenced unambiguously. Examples: CASE001-000001, DOC-0001, 2024-00001.

Bates numbers are used in:

  • Legal discovery — courts require every exhibit page to have a unique identifier for citation in briefs and depositions.
  • Medical records — patient files must be numbered for audit trails and regulatory compliance.
  • Financial audits — supporting documents are Bates-stamped so auditors can reference specific pages in reports.
  • Insurance claims — claim files with hundreds of pages need sequential numbering for organized review.

How to Stamp Bates Numbers with Tiff PDF Cleaner

  • Step 1. Launch Tiff PDF Cleaner. Open the program. The main window shows source folder settings, file list, and processing options.
  • Step 2. Add source folders. Click Add Folder and select the directory with your PDF or TIFF files. Enable Include Subfolders to process nested directories. Check the files you want to stamp.
  • Step 3. Open the header/footer settings. Click the TIFF or PDF button in the toolbar to open the processing wizard. Navigate to the Header & Footer tab.
  • Step 4. Configure Bates numbering. In the header or footer field, enter the Bates stamp format. Use the {PageNumber} placeholder for sequential numbering. Add a prefix (e.g., CASE001-) and set the starting number. Leading zeros are supported for consistent digit length.
  • Step 5. Set font and position. Choose the font, size, and alignment (left, center, or right) for the Bates stamp. Position it in the header or footer area.
  • Step 6. Set the output folder. Choose the destination for stamped files. Save to a new folder to keep originals untouched.
  • Step 7. Click Start. Tiff PDF Cleaner processes all selected files, applies sequential Bates numbers across every page, and saves the results. The log shows the number of pages processed.

Bates Numbering: Sequential Across Files

When you process a batch of files, Tiff PDF Cleaner numbers pages sequentially across all documents. If the first file has 10 pages (numbered 1–10), the second file starts at page 11. This produces a single continuous sequence across the entire document collection — exactly what courts and auditors expect.

You can set the starting number to any value. If a previous batch ended at page 5,000, start the new batch at 5,001 and the sequence continues without gaps.

When Do You Need Bates Stamping?

1. Legal Discovery and Litigation

Attorneys must produce documents with Bates numbers so opposing counsel and the court can reference specific pages. A missing or duplicate number can result in sanctions. Tiff PDF Cleaner applies consistent, gap-free numbering to thousands of pages.

2. Regulatory Compliance

Industries like pharmaceuticals, finance, and healthcare require numbered document trails. Bates stamping provides a verifiable, sequential record that auditors can follow page by page.

3. Insurance Claim Processing

A claim file may contain medical records, police reports, repair estimates, and correspondence — hundreds of pages from different sources. Bates numbering ties them into a single referenced collection.

4. Corporate Document Management

Merger and acquisition due diligence involves reviewing thousands of financial and legal documents. Bates numbers let the review team cite specific pages in their reports without ambiguity.

5. Archive Digitization

When paper archives are scanned to TIFF or PDF, each page needs a unique identifier for the digital catalog. Bates stamping during the scanning cleanup phase saves a separate numbering step later.

"We handle discovery productions with 5,000+ pages regularly. Before Tiff PDF Cleaner, I spent an entire day in Acrobat setting up Bates numbers file by file and tracking where each one left off. Now I point the tool at the folder, set the prefix and starting number, and it processes everything in minutes. The sequential numbering across files is flawless."

5 Star Katherine Ingram Litigation Paralegal

"Our audit documentation includes both PDFs and scanned TIFFs. Finding a tool that stamps Bates numbers on TIFF files was the main reason we chose Tiff PDF Cleaner. The fact that it also removes blank pages from our scans in the same pass saved us from buying a separate cleanup tool."

5 Star David Moreau Compliance Officer
