How to Add File Name to the Header of Each PDF Page

A scanning bureau delivers 200 PDF files. The pages inside contain scanned content but no indication of which file they belong to. When someone prints a page or views it on screen, there is no way to trace it back to its source document. The same problem occurs with legal exhibits, medical records, and archived invoices — the pages themselves carry no file identification.

Tiff PDF Cleaner adds the file name to the header or footer of every page in your PDF files — automatically and in batch. Select your folders, set the [name] tag in the header field, and click Start. Every page in every PDF gets labeled with the file name of its source document.

Why Add File Names to PDF Pages?

  • Document traceability — when a page is printed or extracted, the file name in the header tells you exactly which document it came from.
  • Legal compliance — exhibits and discovery documents often require the source file name on each page for proper referencing in court.
  • Archive management — digitized records with file names on every page are easier to organize, search, and verify.
  • Quality control — during document review, the file name stamp helps reviewers confirm they are looking at the correct document.

How to Add File Name to PDF Headers — Step by Step

  • Step 1. Launch Tiff PDF Cleaner. Open the program. The main window shows source folder settings, a file list, and processing options.
  • Step 2. Add source folders. Click Add Folder and select the directory containing your PDF files. Enable Include Subfolders to process nested directories. Check the files you want to process.
  • Step 3. Open the PDF settings wizard. Click the PDF button on the toolbar to open the processing wizard.
  • Step 4. Go to the Header tab. Navigate to the Header tab (or Footer if you prefer the file name at the bottom of the page).
  • Step 5. Enter the [name] tag. Type [name] into the header input field. This placeholder is replaced with the actual file name of each document during processing. You can combine it with other text, e.g., Source: [name].
  • Step 6. Set font and position. Choose the font, size, and alignment (left, center, or right). Adjust the margin so the header does not overlap with page content.
  • Step 7. Set the output folder. Choose where the processed files will be saved. Use a separate output folder to keep the originals intact.
  • Step 8. Click Start. Tiff PDF Cleaner processes all selected PDFs. Each page receives the file name in the header. The log shows how many files and pages were processed.

What You Can Add to Headers and Footers

The file name tag is just one of several placeholders available. You can combine multiple elements in the same header or footer:

Placeholder / ElementWhat It Produces
[name]File name of the source document (e.g., Invoice_2024_March.pdf)
[page]Page number within the current file
Sequential numberContinuous page numbering across all files (Bates numbering)
[date]Current date in your chosen format
Custom textAny fixed text (e.g., "CONFIDENTIAL", department name, project ID)
Logo / imageCompany logo or watermark in the header or footer

Example header: Source: [name] — Page [page] produces "Source: Contract_Draft.pdf — Page 3" on the third page of that file.

Combining File Name Stamping with Blank Page Removal

Tiff PDF Cleaner was originally designed to detect and delete blank pages in scanned documents. The header/footer feature works alongside blank page removal in a single pass. This means you can:

  1. Remove blank pages created by duplex scanning
  2. Add the file name to the header of every remaining page
  3. Optionally add page numbers to the footer

All three operations happen at once — no need to run the files through multiple tools or multiple passes.

When Do You Need File Names on PDF Pages?

1. Legal Document Production

Courts and opposing counsel reference documents by file name. Adding the name to every page header ensures that any printed or extracted page can be traced back to its source exhibit.

2. Scanning Bureau Deliverables

A scanning service delivers hundreds of PDFs. Stamping the file name on every page provides an internal cross-reference between the physical paper and its digital copy.

3. Financial Audits

Auditors work with supporting documents from multiple sources. The file name in the header tells them exactly which statement, invoice, or receipt they are reviewing — even when pages are printed and mixed together.

4. Medical Records Management

Patient files scanned to PDF need identification on every page. The file name stamp prevents pages from different patients being confused when records are printed or faxed.

5. Internal Document Distribution

When departments share PDF reports, the file name in the header acts as a reference label. Recipients always know which file a printed page came from.
