Converting an OXPS archive to PDF makes it easier to share the documents with people who use a familiar PDF reader. The useful result depends on what those people need to do with it: read the pages, print them at the original size, search the text or copy a table heading into another system. A small sample gives you room to check those requirements before you convert the whole collection.

Choose pages that reveal the likely problems

Set aside several representative documents, including ordinary text, a dense table and any page with unusual characters or dimensions. If your collection contains more than one language or several font families, include those differences in the sample. A reference supplied by the document owner is useful when you need to compare appearance closely.

Write down the few checks that matter to the recipient. For a printed plan, page size may be essential; for a searchable archive, text extraction deserves attention. Those requirements give you a practical basis for deciding whether a converted sample is ready for the rest of the folder.

Create the first PDFs locally

Compare fonts, line breaks and page size

Read a page with a dense text column and look at the points where lines wrap. An OXPS page stores every line at a fixed position, so lines should wrap exactly as in the source; a font difference appears only when a font is missing from the file and the converter uses a substitute. Check accented characters and other scripts in the sample, because a familiar-looking heading may still contain a substituted character.

Open the PDF viewer’s page information and compare the dimensions and orientation with the intended document. The converter keeps the size and orientation of each page, so a landscape page stays landscape; an A4 page came out about half a point smaller than ISO A4 in our test (594.75 × 841.5 pt). For a file that will be printed, review the print settings too, since scaling in the viewer can change the final physical size even when the PDF itself has the right dimensions. Pay attention to borders and content near the page edges.

Try searching and copying the text

Search for a phrase that is easy to identify on the visible page, then copy a paragraph or table heading into a text editor. Compare the pasted text with what you can see, including spaces, characters and reading order. These checks show how well the PDF will work in the recipient’s actual text-based tasks.

If the page looks correct while copied characters differ, record that specific issue and consider the document’s intended use. A reading copy and a searchable reference can have different acceptance requirements. If the PDF contains page images, determine whether you need an additional OCR workflow and check the features of the tool you choose for it.

Convert the collection with the sample as your reference

After the sample has been reviewed, process the remaining files in manageable groups and keep output names linked to their sources. Check the selected inputs against the PDFs produced, then investigate any missing files or exceptions before delivering the collection. Documents with unusual fonts or page sizes deserve another sample check from the completed run.

Retain the original OXPS files, approved PDFs and the small record of settings together in separate folders. When a recipient later asks for searchable text or a different print layout, you can return to the same sources and see which requirements the earlier export was designed to meet.
