IIF to PDF Converter — Frequently Asked Questions ▼

IIF (Intuit Interchange Format) is a tab-delimited text export from QuickBooks Desktop containing accounting data — chart of accounts, customer and vendor lists, invoices, checks, deposits, and journal entries. Opening an IIF raw looks like a wall of tab-separated codes (TRNS, SPL, !ACCNT, etc.) because it is designed for machine-to-machine transfer, not human reading. Converting to PDF produces a structured, paginated document that accountants, auditors, and managers can review without QuickBooks installed.
Transactions are laid out as rows with Date, Ref #, Name, Memo, Account, and Debit/Credit columns. Split lines (SPL records) appear indented beneath each parent TRNS row so the full distribution of every transaction is visible. List sections — Accounts, Customers, Vendors, Items — appear as separate readable registers. Running balances can optionally appear at the end of each account section, resembling a bank statement.
Yes. The output is a text-based PDF, not a scanned image. All transaction data, account names, vendor names, memos, and amounts are embedded as real text so the PDF is searchable with Ctrl+F in any PDF viewer, indexable by document management systems, and selectable for copy/paste. This is important for audit workflows where reviewers need to locate specific transactions quickly.
QuickBooks can export IIF with either a single signed Amount column or separate Debit and Credit columns, depending on the version and export settings. The converter detects which style your IIF uses and renders the appropriate columns. If the amounts look negated or doubled, your IIF may be mixing both styles in one export — re-export from QuickBooks using a consistent template, or manually remove the redundant column before converting.
The online converter handles IIF files up to 50 MB. A typical QuickBooks export for a full year of a small business is 1–10 MB. Multi-year exports with thousands of split-line transactions can approach 30–40 MB. If your file is larger, export by quarter or by account class in QuickBooks, convert each slice separately, then merge the PDFs using a PDF tool. This also produces more manageable documents for review.
The online tool converts one file at a time. For recurring month-end or year-end reporting workflows, CoolUtils desktop tools support command-line batch conversion: specify an input folder of IIF files, output to PDF, add watermarks or headers, and optionally produce PDF/A for long-term archiving. This is useful for accounting firms that receive IIF exports from multiple QuickBooks clients on a schedule.

What Is an IIF File?

.iif is a tab-delimited text format used by QuickBooks Desktop to import/export lists and transactions. An IIF may include chart of accounts, customers/vendors/items, classes, and activity such as checks, deposits, bills, invoices, and journal entries. It’s great for data exchange—but not ideal for quick reading without conversion.
